CBRE Facilities Manager - Soft Services (Focus: Site Management & Tenant Experience)

Job Summary:

CBRE is seeking a highly motivated and experienced Facilities Manager to oversee and optimize the soft services aspects of our managed facilities. This role will be responsible for ensuring a positive and productive environment for our clients and their employees, focusing on tenant experience, operational efficiency, and regulatory compliance. The ideal candidate will possess strong communication, organizational, and problem-solving skills, with a proven ability to coordinate with stakeholders, manage vendors, and drive site initiatives.

Key Responsibilities:

  • Tenant/Client Relationship Management:

  • Serve as the primary point of contact for tenant/client inquiries and concerns related to soft services.

  • Proactively build and maintain strong relationships with tenants/clients, understanding their needs and proactively addressing them.
  • Conduct regular tenant surveys and feedback sessions to identify areas for improvement and enhance the overall tenant experience.
  • Collaborate with CBRE property management and other relevant teams to ensure seamless service delivery and tenant satisfaction.
  • Vendor Management & Supply Chain:

  • Manage and oversee all soft services vendors, including but not limited to:

    • Cleaning and janitorial services
    • Landscaping and grounds maintenance
    • Security services
    • Catering and vending services
    • Negotiate and manage vendor contracts, ensuring adherence to service level agreements (SLAs) and budgetary constraints.
    • Conduct regular vendor performance reviews and identify opportunities for improvement.
    • Oversee supply chain management for soft services, including inventory control, ordering, and distribution of necessary materials.
    • Site Operations & Events:
  • Plan, coordinate, and execute site initiatives, including events, programs, and activities designed to enhance tenant engagement and community building.

  • Manage and maintain site aesthetics, ensuring a clean, organized, and welcoming environment.
  • Oversee and manage the reception area and related services (mail, package handling, etc.).
  • Manage and maintain all site signage and wayfinding.
  • Safety, Health, and Environment (OSH) & Compliance:

  • Possess a strong understanding of Occupational Safety and Health (OSH) regulations and ensure compliance within the facility. (SO4 Knowledgeable)

  • Conduct regular safety inspections and identify and address potential hazards.
  • Coordinate and facilitate safety training programs for tenants and relevant staff.
  • Work with the property management team to ensure compliance with all relevant local, state, and federal regulations.
  • Business Continuity Planning (BCP):

  • Participate in the development and implementation of business continuity plans (BCP) for the facility.

  • Assist in the preparation of emergency response procedures and conduct regular drills.
  • Ensure the availability of essential soft services during emergency situations.
  • Financial Management:

  • Assist in the development and management of the soft services budget.

  • Monitor expenses and identify opportunities for cost savings.
  • Prepare and submit financial reports as required.
  • Reporting & Documentation:

  • Prepare regular reports on soft services performance, including key performance indicators (KPIs).

  • Maintain accurate records of vendor contracts, service agreements, and other relevant documentation.
  • Utilize CBRE systems and tools for work order management, reporting, and communication.

Qualifications:

  • Education: Bachelor's degree in Facilities Management, Business Administration, or a related field preferred.
  • Experience: Minimum of 3-5 years of experience in facilities management, with a strong focus on soft services.
  • Skills:

  • Excellent communication, interpersonal, and customer service skills.

  • Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
  • Proven vendor management and negotiation skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Knowledge of OSH regulations and safety practices (SO4 Knowledgeable).
  • Experience with business continuity planning (BCP) and emergency response procedures.
  • Ability to work independently and as part of a team.
  • Ability to analyze data and identify trends.
  • Experience in event planning and execution.
