Manila, National Capital Region, Philippines Jade Solutions and Management Services Full time

Job Scope:

You will manage business and personal related tasks for the team such as creating reports, organizing travel and accommodation, taking minutes and other administrative support functions that may arise.

Essential Duties and Responsibilities:

Executive Assistant

● Preparing documentation for statements, reports, memos, letters and other required documents

● Answer calls and routing them accordingly to the correct person and/or taking messages when applicable

● Handling basic bookkeeping tasks

● Filing and retrieving corporate records, documents andreport

● Researching and conducting data to prepare documents for review and presentation of supervisor and/or management

● Help preparing for meetings content and logistics

● Accurately record minutes of the meetings and route as needed

● Greet visitors and direct accordingly to meeting venue

● Manage various software, including word, spreadsheets, databases and presentation software

● Reading and analyzing incoming memos, submitted documents and manage distribution as needed

● Make end to end travel arrangements for executives from flight, hotels, land and sea transfers etc. Prepare all documentation needed for the travel

● Perform office related duties such which includes office supply management, pantry supplies etc

● Serve as Virtual Executive Assistant especially during instances that Executives are traveling

● Opening, sorting, distributing incoming mails, fax letters, parcels, packages and other correspondence

● Provide general administrative support

● Attending to supervisor and/or executive personal arrangements, errands and transactions as needed

● Handling of all purchasing transactions from requisition to liquidations and entry of purchase in any asset management systems as needed.

● Exhausting all efforts to find the best purchase for any item. With the consideration of quality, price and availability

● Perform other duties that maybe be assigned

House Management (Boracay)

● You would be the main point of contact in the house for the staff and the Executive

● Daily operations of a house and responding to the home owner's needs.

● Handle tasks thrown their way in a timely fashion and delegate assignments clearly to other staff for the completion of house-related projects.

● Responsible for maintaining and documenting everyday operations, such as maintenance and food services, and questions/concerns from house members and staff.

Multitasking is key

● Deadlines must be met efficiently and effectively

Education and Experience:

● Bachelor Degree in Business Administration

● At least 3 years working experience handling the same

capacity.

● Added training and certification is a plus
