The Client Associate plays a vital role in ensuring the seamless execution of family enterprise planning engagements by providing comprehensive administrative, logistical, and communication support. This includes managing meeting schedules, coordinating travel arrangements, preparing and organizing program materials, and maintaining accurate records and documentation. The role also supports consultants by handling correspondence, monitoring task follow-ups, and ensuring timely dissemination of information to both internal teams and family members. By facilitating effective coordination and maintaining consistent communication, the Client Associate helps uphold the professionalism and responsiveness of the planning process.
In addition to administrative responsibilities, the Client Associate contributes to data and program management. This involves gathering and organizing relevant data, maintaining program databases, tracking progress metrics, and supporting the preparation of reports and presentations. The role is also actively engaged in documenting program activities—including taking notes, photos, and videos during engagements—and assists in the evaluation phase by administering feedback tools and compiling assessment data. Overall, the Client Associate serves as a key enabler of operational excellence, contributing to the quality, continuity, and impact of family enterprise planning services.
DUTIES AND RESPONSIBILITIES:
- Strategically Coordinate End-to-End Engagement Logistics. Lead the planning and execution of complex multi-day family engagements by managing detailed schedules, coordinating across multiple stakeholders, and preemptively addressing logistical contingencies to ensure a seamless client experience.
- Oversee Travel and Resource Planning. Develop comprehensive travel and resource plans for consultants and facilitators, including accommodations, contingency plans, and alignment with client protocols or family preferences.
- Develop and Curate Customized Engagement Materials. Collaborate with consultants to co-create high-impact presentation decks, visual frameworks, and engagement toolkits tailored to the unique dynamics, objectives, and governance frameworks of each family enterprise.
- Implement Information Governance and Data Integrity Protocols. Manage client data with utmost confidentiality by maintaining secure documentation systems, applying version control standards, and ensuring audit readiness of all planning process and client communications.
- Track Task Completion and Strategic Follow-Through. Monitor critical milestones across planning engagements using project management tools, issue timely prompts to consultants or family stakeholders, and escalate potential delays that may affect strategic continuity.
- Act as the Communication Anchor Between Consultants and Family Stakeholders
Maintain continuous, high-trust communication with family representatives and internal consultants, managing complex schedules and acting as the primary point-of-contact to ensure alignment and responsiveness. - Lead Data Synthesis for Engagement Reporting and Insight Generation
Collect, validate, and synthesize quantitative and qualitative data from various planning sessions to support the development of family constitution, executive reports, outcome summaries, and advisory recommendations. - Document Strategic Decision Points and Governance Milestones
Record and summarize key insights, agreements, and action points during engagement activities, contributing to the institutional memory of the family enterprise's planning process and continuity. - Administer Program Evaluation and Continuous Improvement Feedback Loops
Design and distribute evaluation tools, analyze stakeholder feedback, and generate insights that inform the continuous enhancement of PFBC's family planning methodologies and delivery quality. - Support Implementation Monitoring of Family Governance or Legacy Plans
Assist in tracking the implementation of key outcomes such as succession plans, governance structures, or wealth transition strategies, liaising with stakeholders to ensure adherence and alignment with agreed-upon roadmaps.
