Key Responsibilities
Supplier Sourcing, Negotiation, & Relationship Management
Negotiating Terms - Securing the best prices, payment terms, and delivery schedules. Even small per-unit savings add up significantly over time.
- Building Relationships - Maintaining strong, professional relationships with key suppliers to ensure reliability, prioritize your orders during shortages, and gain access to new products or deals.
Contract Management - Overseeing any contracts with suppliers to ensure both parties meet their agreed-upon terms.
Inventory Management & Order Planning
Monitoring Stock Levels - Regularly checking inventory (often through a digital system or physical counts) to track usage rates of all items.
- Forecasting Demand - Analyzing sales data, seasonal trends (e.g., iced drinks in summer), and upcoming promotions to accurately predict what and how much will be needed
- Placing Orders - Creating and submitting purchase orders to suppliers based on the forecasted needs, ensuring optimal order quantities.
Managing Lead Times - Accounting for the time between placing an order and its delivery to ensure seamless stock continuity.
Quality Control & Receiving
Setting Quality Standards - Establishing clear specifications for all products (e.g., bean roast date, milk fat percentage, ripeness of avocados).
- Inspecting Deliveries - Physically checking incoming shipments to ensure they meet the agreed-upon quality standards, are fresh, and are undamaged.
- Accepting or Rejecting Orders - Taking responsibility for rejecting subpar or incorrect orders and communicating the issue back to the supplier to arrange credits or returns.
Tasting & Sampling - Regularly cupping new coffee samples or tasting new food products to assess quality and make informed purchasing decisions.
Cost Analysis & Budgeting
Tracking Prices - Monitoring market prices for key commodities (e.g., coffee futures, dairy prices) that can affect costs.
- Analyzing Cost per Unit - Calculating and comparing the true cost of products from different suppliers, considering factors like yield and waste (e.g., whole fruit vs. pre-sliced).
- Budget Adherence - Working within a set budget for inventory and making purchasing decisions that maximize value without compromising quality.
Reporting on Spending - Providing reports to management on purchasing activities, cost variances, and opportunities for savings.
Menu & Product Development Support
Sourcing for New Menu Items - Finding suppliers for ingredients required for new drinks, seasonal specials, or food items proposed by the kitchen manager.
- Providing Costing Data - Calculating the cost of goods sold (COGS) for potential new menu items to help determine their viability and pricing.
- Introducing New Products - Researching and presenting new products (e.g., alternative milks, unique syrups, sustainable packaging) that could enhance the menu or improve operations.
- Managing Product Changes - Finding suitable replacements for discontinued items or negotiating alternatives when a supplier has a shortage.
Qualifications
- Hotel & Restaurant Management Course, Business Management Course
- Fresh Graduate of related course or with at least 6 mos – 1 yr related experience
- Knows Excel and Spreadsheet, High Organizing/Monitoring Skills, Haggling skills
- Analytical, diligent, organized, meticulous, able to talk to various suppliers
Starting Salary
Entry level at P510/day
With experience or mid-level starts at 15,000/month
