Responsibilities:


• Ensure RES operations efficiency by assisting all members (16 pax) with all their admin related activities.


• Custodian of RES Team's itineraries.


• In charge of organizing schedules of RES Head and RES Team's events plus internal and external meetings.


• Organizing, inventory tracking and safekeeping of all sales and marketing tokens, giveaways and leave behind items.


• In charge of preparation, submission, routing for approval and custodian of all RES documentation and forms.

  1. Travel Request Form
  2. Liquidation, Reimbursement, Cash Advance
  3. Processing of payments to vendors


• Custodian of RES Playbook.

  1. Hosting of customer meetings in Tower 2
  2. REcharge events
  3. Internal events


• Assist RES Champion for Process and Custodian of RES Protocols Documentation.

  1. In charge of safekeeping of all changes in RES protocols.


• Create and maintain filing systems, both electronic and physical.


• In charge of coordinating with different departments internally and different suppliers/vendors for the following:

  1. Procurement of sales and marketing tokens, giveaways and leave behind items
  2. Hotels and events venue
  3. Travel and accommodation for business trips
  4. Agencies and other contracted services


• Provide assistance with the following:

  1. Budget review and monitoring
  2. Preparation of bid documents

Requirements:


• Bachelor's degree or equivalent


• Two years relevant work experience


• Strong verbal and oral communication skills; calm under pressure; cheerful; pleasant personality


• Trustworthy, willing to work with RES team after hours, holidays as needed


• Can do multi-tasking and meet deadlines


• Strong problem-solving skills, detailed-oriented and a can-do attitude


• Organizational skills to manage time effectively, prioritize tasks, set goals, and develop systems for achieving those goals.


• Knowledgeable in Microsoft Office: word, excel


• Can learn ACEN systems: P2P, MyHR, etc.


• Amenable to work in Ayala Triangle, Makati
