- Renewal of company licenses, permits, registrations, and contracts must be on time.
- Proper filing and storage of documents.
- Safely keep of the warranty cards and original receipts of the office equipment purchased.
- Processes the amendments in incorporation and by-laws.
- Prepares certification such as but not limited to shareholders certificate and the like.
- Aids in the preparation of bidding documents for government biddings.
- Ensure that the company meets the government's compliance such as but not limited to fire inspection, building occupancy, and other related compliance.
- Safe keep all company registration documents, contracts, stockholder's information, shares certificates, and the like.
- Display and arrange the permits on the receiving area.
- Facilitate the notarization of legal documents such as but not limited to secretary's certificate, omnibus, and bid securing.
- Process the water, telephone, and electricity connection and bills.
- Renewal of company vehicle's insurance and permits.
- Monitor and arrange the bookings of company vehicle.
- Ensure that the company vehicle is used for official business only.
- Log and monitor the repairs and preventive maintenance of the company vehicle.
- Facilitate the repairs and preventive maintenance of the vehicle, staff house, building, and office equipment.
- Assist the Admin Head for the inventory and disposal of company owned furniture, fixtures, and office equipment.
- Ensure that the office is tidy and conducive to work at all times.
- Coordinate and collaborate with the HR Assistant for the teambuilding, Christmas party, Anniversary, and the like.
- Book travels of the employees, top management, stockholders, and official visitors.
- Facilitate the weekly, department heads, BOD, and the annual stock holders' meetings such as the venue, food, and reminding the attendees.
- Prepares minutes of the meeting or as required by the General Manager.
- Assist the departments for their administrative needs.
- Do other related tasks as directed by the Admin Head and the General Manager.
