PROPERTY MANAGER AND BODY CORPORATE MANAGER

TYPE: FULL TIME; INDEPENDENT CONTRACTOR
Purpose
The Body Corporate & Property Management Administrator provides high-level administrative, financial, and secretarial support to Body Corporate Managers (BCMs), ensuring the efficient management of residential, commercial, and mixed-use properties. This role is integral to maintaining well-managed properties, ensuring compliance with legislation, supporting committees and owners, and overseeing essential financial and operational processes.
Key ResponsibilitiesProperty & Strata Management Support
- Assist BCMs in the day-to-day management of assigned property portfolios, ensuring smooth operation of residential and commercial complexes.
- Coordinate property-related documentation such as insurance renewals, levy reminders, and contractor agreements.
- Prepare, distribute, and maintain body corporate meeting documents (notices, agendas, minutes) and ensure compliance with legal requirements.
- Support BCMs with property inspections, maintenance requests, and service provider coordination.
- Liaise with owners, tenants, and contractors to address property-related issues and ensure timely resolution.
Financial Administration
- Process, code, and obtain approval for property-related invoices.
- Assist with levy issuance, collections, and financial reporting for body corporate entities.
- Monitor budgets, track expenditure, and support delivery of property projects.
- Ensure adherence to financial procedures, supporting transparency and compliance in all property-related transactions.
Communication & Client Service
- Act as a key point of contact for owners, committees, and service providers across managed properties.
- Manage client communications through email, phone, mail-outs, and in-person interactions, ensuring issues are escalated or resolved promptly.
- Maintain a customer service focus by providing professional, accurate, and timely responses to all property stakeholders.
Administration & Compliance
- Maintain accurate records of property and body corporate documentation.
- Ensure all property management policies and procedures are followed and improved where necessary.
- Coordinate AGM and committee meeting logistics, including venue bookings and statutory documentation.
Teamwork & Collaboration
- Work closely with BCMs and colleagues to ensure efficient management of property portfolios.
- Provide backup and support for other administrators and managers as required.
- Engage in internal service commitments, ensuring alignment with company standards.
Qualifications & Experience
- Tertiary qualification preferred but not essential.
- 3–4 years' experience in body corporate, strata, or property management administration.
- Strong understanding of property management, financial, and business concepts.
- Proficient in Microsoft Office Suite; strong typing and transcription skills.
- Demonstrated experience liaising with property owners, committees, tenants, and contractors.
- Strong verbal and written communication skills with excellent organizational abilities.

Home Office Requirements:
- Internet Connection : Must be 25 mbps at the least, preferably wired connection with PLDT/Converge, Cable connection is fine if it's more than 5mbps. We DO NOT accept plug-in, wi-fi or wimax.
- Computer/Laptop: The contractor must have a good working computer.
- Headsets : The Contractor must have noise canceling headsets preferably Plantronics Blackwire C320M headsets. Assessment will be done during test calls.
- Dedicated Home Office - Contractors are required to have a dedicated home office free from noise and distractions.
- Webcam - for meeting purposes
- Must be comfortable in working with Time Doctor/Screenshot Monitor
