The Sales Assistant is responsible for supporting our Display and Classified Ads team in a fast-paced integrated platform by managing advertising-related administrative tasks, maintaining internal databases and records, assisting with daily sales operations, and ensuring smooth communication and coordination across departments, all while demonstrating strong attention to detail, effective communication skills, and the ability to multitask efficiently.

KEY RESPONSIBILITIES:

1. Sales Support.

a. Assist in receiving and processing display and classified advertising bookings and client ad placements (Ad Taking).

b. Support in responding to client inquiries via phone, email, or in person(Sales Calls).

c. Support in providing daily assistance to the sales team in preparingmaterials, organizing meetings, gathering data, and client follow-ups.

d. Schedule and coordinate photography needs for display and classified advertising clients (Request for Photographer).

2. Contract Coordination.

a. Track, organize, and file display and classified advertising contracts.

b. Coordinate with clients and legal/admin teams for processing and signing of contracts.

c. Assist in preparation and tracking of RFAs (Request for Adjustment),coordinating with billing and sales teams.

3. Sales Documentation and Data Management

a. Maintain and update sales and client databases.

b. Organize and maintain physical and digital records (contracts, proposals,correspondence).

c. Prepare internal forms, sales reports, and data summaries.

d. Support in backing up and updating essential display and classifiedadvertising documents.

e. Monitor and track ad placements, prepare comparative reports.

4. Internal Collaboration.

a. Coordinate with production, editorial, accounting, and marketingdepartments to ensure smooth campaign execution.

b. Communicate display and classified ads-related updates or requirementsacross departments.

c. Work with accounting and billing for RFA processing

5. Administrative Support and Other Tasks

a. Assist with office supply requests and basic housekeeping tasks.

b. Encode solicitation letters and organize deliveries by project or account

c. Perform clerical tasks such as scheduling, document preparation, andoffice coordination.

d. Support other duties and special projects assigned by display andclassified ads supervisors.

Competencies and Skills:

a. Knowledge of basic marketing principles.

b. Good filing skills and customer service skills.

c. Basic computer skills and proficient in MS Office (Word, Excel, Outlook);knowledge of database systems a plus.

d. Strong organizational and effective communication skills.

e. Detail-oriented and capable of handling multiple tasks simultaneously.

f. Team player with a proactive and professional attitude.
