Operations Officer

Job description:
The Operations Officer is responsible for managing various operational tasks to ensure the smooth and efficient functioning of the organization's processes. This role requires meticulous attention to detail, strong organizational skills, and the ability to coordinate effectively with internal and external stakeholders.
Duties and Responsibilities
- Initiate and process purchase orders (POs) in the SAP system and coordinate with relevant departments to ensure accuracy and completeness of PO requests
- Validate Receiving Delivery Reports (RDRs) from stores, ensuring accuracy and completeness
- Investigate and resolve any discrepancies or claims related to RDRs promptly
- Create incident reports with comprehensive references, detailing incidents and actions taken
- Confirm bookings received from Customer Service Manila/Sales team and coordinate accordingly
- Monitor Purchase Order Receiving Advice (PORA) requests, ensuring timely validation and processing
- Generate reports on short or overlanded items and follow up on their disposition
- Ensure approval of charges incurred during or prior to deliveries, such as redelivery charges, demurrage, storage, etc
- Coordinate delivery and pick-up schedules with customers and stores to ensure timely and efficient operations
- Monitor and track claims, sending weekly claims monitoring reports as required
- Ensure timely and accurate updating of systems
- Request truck bookings for preload and schedule deliveries (FCL/FTL) as needed
