Job Summary
Responsible for overseeing and managing various administrative tasks within a company to ensure smooth daily operations. This includes office management, record keeping, coordination of resources, facilities management and assisting with the organization's compliance requirements.
Duties and Responsibilities
Bookings and Travel: Manage travel bookings, car rentals, and conference room reservations for local employees.
Scheduling: Arrange and manage schedules in a timely manner, coordinating effectively with team members.
Billing and Payments: Handle billing and payments, ensuring timely payment of office utilities such as electricity (Meralco), water, Sky Cable, and Globe.
Procurement and Inventory: Maintain a well-organized and functional office by ensuring adequate stock levels of supplies and proper functioning of equipment. Implement inventory control measures to optimize resource use.
Supplier Management: Manage the supplier pre-qualification process. This includes issuing and tracking pre-qualification questionnaires to ensure timely and compliant submissions from all potential suppliers and vendors.
Data Management: Perform accurate data entry, maintain comprehensive records and databases, and generate reports to provide data-driven insights.
Permits and Licenses: Assist with the application and renewal processes for various permits and licenses, including business permits. This includes preparing all necessary documents, coordinating with government agencies, and ensuring all deadlines are met to maintain compliance.
1S0/HSE Support: Collaborate with the Health, Safety & Environmental (HSE) Manager to support the implementation and monitoring of workplace safety programs and initiatives.
5S and Safety Culture: Champion safety awareness among all personnel by providing guidance on emergency protocols, the correct use of safety equipment, and promoting a safety-conscious culture.
Office Maintenance: Handle the maintenance of the office space and equipment. This involves coordinating with contractors for repairs, overseeing regular service checks, and ensuring a safe and efficient working environment.
Other Duties: Perform other tasks as assigned by the department manager and the management.
Qualification
Bachelor's Degree or equivalent, associate degree in business administration or related field preferred.
Minimum of 3 years of experience in administrative support, preferably in the construction or engineering industry.
Job Type: Full-time
Pay: Php35, Php40,000.00 per month
