Key Responsibilities:

  1. Communication Management

  2. Handle all communication with principals, vessels, agents, accredited clinics, and other relevant entities related to crew operations.

  3. Crew Planning & Deployment

  4. Plan and oversee the relief and rotation of seafarers to ensure uninterrupted vessel operations.

  5. Ensure crew changes are carried out in a timely and efficient manner in coordination with principals.

  6. Recruitment & Qualification Verification

  7. Ensure all seafarers being hired, rehired, or promoted meet company and principal qualifications.

  8. Verify technical and professional qualifications in accordance with international standards.

  9. Crew Evaluation & Movement

  10. Coordinate and follow up on crew performance evaluations, promotions, and movements.

  11. Documentary Compliance

  12. Ensure compliance with national and international requirements for seafarer documentation.

  13. Endorse crew members for Pre-Employment Medical Examinations (PEME).

  14. Crew Retention & Welfare

  15. Support retention strategies through effective communication, motivation, and briefings.

  16. Conduct pre-joining briefings and off-signing debriefings.
  17. Assist in family relations activities and serve as an emergency contact for crew-related matters.

  18. Documentation Management

  19. Monitor and update all crew documentation, certifications, and medical records, both in physical files and in the Mentor system.

  20. P&I and Claims Support

  21. Provide necessary information related to P&I cases and crew claims.

  22. Market Research

  23. Source and provide information on current market rates for crew salaries and benefits.

  24. Team Management

  25. Ensure that all departmental staff perform efficiently and contribute to the achievement of HMOI's quality objectives.

  26. Other Duties

  27. Perform additional tasks or responsibilities as may be assigned by management.
