Job Description

As an Executive Assistant, you will manage and facilitate daily sales calls, oversee lead outreach, and ensure seamless scheduling and client communication. You'll provide essential support to senior leadership and administrative teams, helping streamline operations, foster collaboration, and maximize productivity across the organization.

The Qualifications We Seek

  • Marketing and strategic planning background.
  • Public speaking.
  • Relationship building within the dance studio industry.
  • Understanding of the financial literacy needed for a small business owner.
  • 1-2 years of customer service experience.
  • Strong verbal and written communication skills.
  • Excellent phone etiquette and interpersonal skills.
  • Excellent technology skills including proficiency with G-Suite, Excel, and QuickBooks.
  • Willingness to step in and help teammates on behalf of the company.
  • High level of discretion and integrity in handling confidential information.
  • Initiative to learn programs and software.

Your Daily Tasks

  • Make 50 outbound sales calls per day.
  • Calendar Management: Schedule meetings, appointments, and events, ensuring no conflicts.
  • Taking Meeting Minutes: Record key points discussed during meetings.
  • Document Management: Organize, file, and retrieve documents and reports.
  • Project Support: Assist with project management tasks, such as tracking progress, scheduling meetings, and assigning tasks.
  • Communication: Screen phone calls, emails, and other communication channels, responding on behalf of the executive when necessary.
  • Research: Conduct research on behalf of the executive.
  • Data Entry: Enter and maintain information in databases.
  • Billing and Invoicing: Monitor accounts receivable and assist with collections by following up on overdue payments. Resolve billing discrepancies and respond to client inquiries in a professional and prompt manner.
