Responsibilities

  1. Project Coordination Responsibility:
    Plan, execute, and track marketing campaigns and initiatives; Includes, but is not limited to coordination of briefs, timelines, content, and creative assets across teams, stakeholders, and vendors
  2. Content and Communication Responsibility:
    Manage marketing content plans and calendars across various communication channels and platforms
  3. Stakeholder Collaboration and Support Responsibility:
    Collaborate with internal and external stakeholders to develop and implement effective marketing requirements

Job Summary

Project Coordination

  • Develop and maintain detailed project timelines and task trackers for all campaigns and marketing initiatives
  • Coordinate and document campaign briefs with input from relevant stakeholders
  • Schedule and facilitate project kick-off and review meetings with stakeholders
  • Monitor progress and proactively follow up on deliverables to ensure deadlines are met
  • Consolidate feedback and revisions from internal stakeholders and external partners
  • Manage vendor coordination and ensure deliverables meet brand and quality standards
  • Maintain an organized repository of project documentation and creative assets for reference and future use
  • Track, record, and report campaign performance metrics to assess effectiveness

Content and Communication

  • Support the Communications and Digital Marketing Managers in developing and maintaining a master content calendar covering social media, email, website, and print materials
  • Proofread marketing materials such as blog posts, social media captions, concept sheets, and newsletters
  • Draft basic content such as presentation decks as needed
  • Schedule and publish content across digital platforms (LinkedIn, FB, websites, etc.)
  • Update marketing collateral across various channels and platforms as needed
  • Support the team in archiving all published content, maintaining content version control
  • Participate and contribute to team brainstorming sessions

Stakeholder Collaboration and Support

  • Set up regular coordination meetings and maintain clear lines of communication with partner teams and agencies
  • Gather marketing requirements, inputs, and approvals from internal departments
  • Manage and track partner deliverables and deadlines to ensure alignment with project timelines
  • Document meeting minutes, feedback, and action points for accountability
  • Provide administrative and logistical support for stakeholder engagements (e.g., briefing decks, follow-up emails, updates)

KNOWLEDGE, SKILLS, ABILITIES, AND PERSONAL CHARACTERISTICS

  • Must have strong organizational and project management skills, as well as attention to detail
  • Excellent written and verbal communication skills, as well as outstanding proofreading skills
  • Must be a self-starter and able to independently move projects forward, prioritize tasks, and meet deadlines
  • Firm grasp of various productivity, marketing and communications platforms, channels, and best practices; this includes, but not limited to: Microsoft 365, LinkedIn, Facebook, Squarespace, WordPress, Sharepoint, Canva, AI, Brevo or equivalent
  • Must be an effective multi-tasker and problem solver
  • Embraces opportunities for learning and development, actively seeking ways to enhance skills and performance

EDUCATION, TRAINING, AND EXPERIENCE

  • Bachelor's degree in business administration, marketing, communications, or a related field
  • 2-4 years of experience in marketing or related fields
  • Good knowledge of marketing strategies, approaches, and concepts
  • Experience in a multinational company and/or nonprofit preferred

WORK ENVIRONMENT AND MENTAL REQUIREMENTS

  • Regular workdays run from roughly 1700 – 0200 (PH Time) to maximize the overlap with European and US Eastern Time work hours (time spent outside regular work hours for events and event preparations will be offset against regular workdays)
  • Ability to communicate and exchange information, collect, compile, and prepare work documents, as well as set up and maintain work files
  • Willingness to work more than 8 hours per day, as needed; ability to handle pressure during peak periods during the year, availability to handle issues outside of normal working hours
