• Ensures that all Building Systems including mechanical, electrical plumbing, ventilation, and sanitary are functioning properly and effectively
• Manage the day-to-day operations of the building including hiring service providers, scheduling maintenance work and responding to tenant concerns
• Identify renewal needs of the building, coordinate with specialty contractors, third-party service provider for repairs and maintenance and ensure efficient use of resources and compliance with regulations
• Develop and implement emergency procedures for fire, weather, power outages etc
• Ensure that all periodic services required by the building and services included in the CUSA fees are provided to tenants
• Coordinate with consultants/contractor in scheduling all Programs/Projects that needs to be provided for the year and deploy manpower accordingly
• Spearhead projects for improvement or maintenance of common areas by consulting with Specialty Contractors, securing cost proposals, and provide recommendations to Management laying out the project cost, scheduling, methodology, budget approvals, and other relevant studies
• Maintain inventory of supplies and materials and ensure that cost for procurement is within the Annual Budget
• Maintains an updated data bank of all business operations such as but not limited to equipment maintenance schedules, utilities, department's expenditures and etc
• Ensure that all Aircon Units are serviced at least Semi-Annually and Service Reports are acknowledged by the Business Units
• Procurement of spare parts or third-party services for the AC Units for repair and charging the corresponding costs to the Business Units
• Prepare cost proposals for Special Work Orders and secure approval from the Business Units
• Ensure that all contracted services included in the PM Fees are provided to tenants such as but not limited to:
o Aircon Maintenance o Lifter Maintenance
o Minor Maintenance Works in Leased Areas
o Submission of Periodic Reports
o Timely response to Tenant Requests and Maintenance issues
• Project Cost Estimate - Coordinate with Facilities Supervisor on estimated materials, Manpower and days needed for the Project or Request for Cost Proposals from outside Contractors for Specialty Projects. Input values on prepared costing templates
• Profit Study - Based on the project cost estimate, input actual expenses to be incurred and compute projected profit for the project
• Prepare Cost Proposal - Prepare cost proposal based on the computed project cost and have it signed by GM, and Project Proponent and their Purchasing Department.
• Prepare Annual Operational Budget - Prepare next year's Annual Budget by the last quarter of the preceding year. Consider projected CUSA, PM Fee, and AC Maintenance Fees from accounting and budget Operation Expense accordingly
• Negotiate and manage all building service contracts, such as janitorial, tecnhicians, pest control and all equipment maintenance services
• Monitor Monthly Operating Expenses and ensure that these are within the Approved Budget as much as possible and implement changes to operations to fall within the budget whenever necessary
• Find additional revenue sources whenever possible by recommending improvements to BU leased areas that will fall under Special Work Orders
• Monitor utility usage and implement energy conservation measures as needed
• Delegation of Duties to Property Engineers and Multiskilled Technicians on progress of Maintenance Works and Special Work Orders
• Scheduling of Weekly and Monthly Maintenance Activities
• Checking output of Technicians
• Monitoring of ticketing system, progress, and issues on pending works
• Prepares Weekly, Monthly and any Incidental Reports
• Memos, Emails, securing approvals and other correspondences
• Review and signing of RFPs, Accounting Billing, Canvass Sheets, PRFs, etc.
• Prepares weekly reports and month end reports both to internal and external parties using powerBI. Microsoft Powerpoint templates and others that may be specified by the client.
• Ensures compliance with Building codes and other regulations.
• Work closely with insurance providers to evaluate claims and ensure that repairs are completed in a timely manner.
• Coordinate closely with fire departments and local building officials to ensure that all regulations are being met
• Monitor and initiate renewal before deadlines of Permits and Compliances to all properties. o Discharge Permit o PCO Renewal o PTO Renewal (Elevator, Genset, Carlift) o Water Testing and Analysis o BFP Requirements o Building Permit o Occupancy Permit o DENR Requirements o LLDA Requirements
• Registered Civil/Electrical/Mechanical Engineer
• Professional License (Passed Board/Bar/Professional License Exam)
• Must have at least five (5) years of experience in Property Management, Building Operations, Construction or Equipment Maintenance
• Experience of being a Pollution Control Officer (PCO) and or CEM is an advantage.
