About the job:

Role: Executive Assistant/Operations Assistant

Time zone needed: Full Time | 40 hours per week | Eastern/Pacific Standard Time Zone

Salary Range: $1000-$1500/month

The company specializes in helping corporations, professionals, investors and entrepreneurs secure the proper visa for their specific and unique immigration situations. We also offer family-based immigration services.

Main Functions::

  • Inbox Management: Efficiently managing incoming emails, prioritizing them, responding when necessary, and ensuring timely follow-ups.
  • Process Improvement: Identifying areas for streamlining and optimizing existing workflows and procedures to enhance overall efficiency and productivity.
  • Client Database Management (Data entry and upkeep): Maintaining an organized and updated client database, ensuring accurate data entry, and managing client information securely.
  • Calendar Management: Scheduling appointments, meetings, and events, coordinating with team members, and ensuring all schedules are synchronized and well-maintained.
  • Sales Support: Assisting the sales team with tasks such as preparing sales materials, managing client leads, and providing administrative support to ensure smooth sales operations.
  • Communication and Documentation Support: Facilitating effective communication within the team and with clients, as well as assisting in preparing various documents, reports, and presentations as needed.
  • Other Admin Work/Assistance: Providing general administrative support as needed, including tasks such as filing, organizing documents, making travel arrangements, and handling other ad-hoc requests.
  • Research: Conducting research on various topics as assigned, gathering relevant information, and providing summaries or analyses to support decision-making and strategic planning.

Requirements:

  • At least 2+ years of relevant working experience
  • Strong background in executive and administrative assistance, experience in providing sales support is a plus
  • Background or experience with legal/immigration is preferred.
  • Great pattern-recognition and attention to detail
  • Strong language skills written and spoken; able to communicate clearly and succinctly
  • Good reporting function
  • Works with high reliability and proactively reports on statuses of tasks
  • Eager learner and high coachability
  • Sharp generalist with street smarts
  • Proactive and able to anticipate needs
