PURPOSE: To ensure that our facilities, equipment, and systems are maintained in optimal condition to support the seamless operation of our organization. This role will be responsible for providing comprehensive administrative support to our maintenance department, ensuring accuracy and efficiency in all administrative tasks while fostering a proactive maintenance culture.

KEY ACCOUNTABILITIES:

DOCUMENTATION MANAGEMENT

  • Maintain accurate and detailed records of all maintenance activities, including work orders, repairs, inspections, and compliance checks.
  • Organize, categorize, and file maintenance-related documents to ensure easy access, retrievability, and compliance with regulatory requirements.

SCHEDULING & COORDINATION

  • Assist in the scheduling of maintenance activities, including routine inspections, repairs, and preventive maintenance tasks to minimize downtime.
  • Coordinate effectively with maintenance staff, contractors, and vendors to ensure the timely and efficient completion of all scheduled tasks.

COMMUNICATION

  • Monitor, track, and maintain adequate inventory levels of maintenance supplies and equipment to prevent shortages and ensure smooth operations.
  • Communicate effectively with maintenance technicians to relay work orders, prioritize tasks, and provide clear instructions for successful execution.

INVENTORY MANAGEMENT

  • Coordinate the procurement of necessary materials and supplies, negotiating with vendors to achieve cost-effective solutions while ensuring quality standards.

REPORTING

  • Prepare and present regular reports on maintenance activities, including work completed, outstanding tasks, maintenance costs, and resource utilization.
  • Analyze data and provide insights and recommendations for process improvements, equipment upgrades, and enhanced maintenance efficiency.
  • Perform other administrative tasks as required by the compliance team.

MINIMUM QUALIFICATIONS:

EDUCATION: College diploma; additional certification in administrative or related fields is a plus.

EXPERIENCE:

Proven experience in an administrative role, preferably in a maintenance or facilities management environment.

Strong Leadership

Accuracy in record keeping and documentation.

Excellent organizational, communication, and problem-solving abilities.

Proficiency in computerized systems for inventory management, purchasing, and excellent communication and interpersonal abilities

Flexibility to work evenings, weekends, and holidays as needed.

Detail-oriented,

Working knowledge of Microsoft O,

Friendly and personable

SUPERVISION:

Standard; attention to detail required.

Pay: Php26, Php28,000.00 per month
