Job Description

As a Document Verification Specialist, you'll handle the critical task of validating, processing, and managing mortgage-related documents. You'll ensure every record meets investor standards, coordinate with partners to resolve discrepancies, and maintain compliance across all post-closing documentation.

The Qualifications We Seek

  • Minimum of 1 year of hands-on experience in mortgage document verification, post-closing, or trailing document management.
  • Strong understanding of loan-level mortgage operations and investor document requirements.
  • Proficiency in Microsoft Office Suite (Excel, Word, Teams).
  • Experience with Encompass or other LOS platforms (preferred).
  • Excellent verbal and written communication skills.
  • High attention to detail and accuracy in handling data-driven tasks.
  • Ability to prioritize workloads, manage multiple document pipelines, and meet strict deadlines.
  • Strong customer service orientation and collaborative mindset.
  • A self-starter with a strong work ethic and commitment to quality.

Your Daily Tasks

  • Receive and process incoming trailing documents from various mail sources; prepare, scan, and upload them into the LOS system
  • Verify document accuracy and identify the correct investor for each loan to determine routing and delivery
  • Perform data entry in the LOS system to mark documents as received and record shipment dates
  • Generate and review reports to identify aged or overdue trailing documents still outstanding with investors
  • Follow up with Settlement Companies and Attorneys' Offices to obtain missing or delayed documents
  • Obtain Certified True Copies of Mortgage/Deed of Trust or final Title Policy copies from County Recorder Offices or Settlement Agents when originals are lost or overdue
  • Collaborate with Investors, internal departments, and external partners to correct documentation issues or defects, including re-recording if required.
