The Opportunity:

The role is for Finance Manager – Fast Services Corporation will be reporting directly to Senior Manager ensuring organization's success through accurate financial recording and timely reporting that would result to effective decision making. This role will assist the Senior Finance Manager in managing the financial operations and strategies of our warehousing, realty and transport business.

Responsibilities:

Finance Operations

  • Oversee accounting activities for warehousing and logistics, including inventory accounting.
  • Manage month-end and year-end close processes for logistics and warehousing functions, including journal entries, reconciliations, accruals and reporting.
  • Ensure that all transactions are recorded accurately and diligently in compliance with corporate policies, internal controls and accounting standards.
  • Analyze warehouse operational expenses (labor, storage, equipment) and identify cost-saving opportunities.
  • Submission of monthly financial results, flash report and management presentation on time.
  • Perform variance analysis on the monthly financial results in coordination with operations and finance team.
  • Coordinate and support wall-to-wall inventory count and reconciliation. Identify any risk and inefficiencies then propose courses of actions to mitigate the risks.
  • Assist in the preparation of the financial budget in collaboration with operations. Ensure assumptions are based on historical, current and future market forecast.
  • Ensure that capital expenditures are within the approved budget and will have a high return of investments.
  • Propose strategic initiatives that will result in efficiency of the process and effectiveness of the policies.
  • Lead or support system implementations or upgrades impacting warehouse/logistics financials Compliance
  • Participate in internal and external audits. Ensure that all required documents needed by the auditors are provided on time.
  • Review policies and procedures at least annually, incorporate any revisions if necessary. Then, cascade the policies to everyone through email and meetings (online or face-to-face).
  • Ensure all statutory reporting requirements from different government agencies are submitted on time.

Team Management

  • Define the organization structure, roles and responsibilities of the team.
  • Discuss the KPI's to the team and do monthly 1:1 coaching with direct reports to bridge any gap in performance.
  • Ensure monthly team meeting is in place to discuss the updates, issues and improvements.
  • Create a career development plan supported by training and seminars. Succession planning must be in place.

Critical skills, experience, and other competencies:

  • Financial Accounting: Ensure accurate and timely financial reports, including income statements, balance sheets, cash flow statements, and financial performance metrics.
  • Cost Management: Monitor and control logistics costs, including warehouse expenses, realty costs, and other material costs. Identify cost-saving opportunities and implement effective cost management strategies.
  • Asset Management: Ensure that assets are recorded and properly evaluated. Internal control is in place to prevent misappropriation of assets.
  • Budgeting and Forecasting: Collaborate with various stakeholders to establish annual budgets and forecasts for the logistics department. Track performance against budget and provide regular reports on financial variances.
  • Financial Compliance: Ensure adherence to financial regulations and internal policies within the logistics department. Collaborate with internal and external auditors during financial audits and implement corrective actions.
  • Process Improvement: Identify process optimization and automation opportunities within the logistics department to enhance operational efficiency and reduce costs.
  • Continuous review of existing processes and implement best practices to streamline financial processes.
  • Stakeholder Management: Collaborate with cross-functional teams, including operations, procurement, and sales, to align financial goals with operational objectives.
  • People Management: Ensure goals, targets and succession planning are reasonably in place. Support the career development plan of the team through coaching, trainings and seminars.
