Executive Assistant

This is an onsite job located in San Fernando Pampanga.
Responsibilities:
- Managing the day-to-day flow of emails and paperwork
- Assist with confirming jobs and coordinating team calendars
- Preparing and issuing invoices and reconciling accounts in Xero
- Maintaining accurate records, contracts, and project files in SharePoint/Microsoft Office
- Assisting with job costing and project tracking (training provided)
- Supporting the owner and team with other tasks as needed
- (Nice to have) Helping with basic social media updates and communications
Skills & Experience
- Experience in administration, bookkeeping and office support
- Experience with Xero (or similar accounting software)
- Good working knowledge of Microsoft Office/365 and SharePoint
- Strong organizational and communication skills
- Ability to learn new software quickly (experience with construction/job costing tools highly regarded)
- Prior experience working in the building industry is a big plus
- Minimum 1 year of experience working with Australian or US clients.

- Full-time role, aligned to Australian business hours
- You will work in close collaboration with the business owner

- Hybrid work arrangement available (mix of remote and in-office work).
