Job Description: Remote Scheduler – PsychPlus

As a Remote Scheduler for PsychPlus, you will serve as a key point of contact for patients, supporting clinic operations by managing appointments, patient inquiries, and administrative coordination. This role is critical in ensuring timely access to care, smooth scheduling workflows, and a positive patient experience—while working remotely in a fast-paced behavioral healthcare environment.

Responsibilities

  • Serve as the primary remote point of contact for patients via phone, email, and internal systems
  • Schedule, confirm, reschedule, and cancel patient appointments while coordinating with providers and clinic teams
  • Manage high-volume scheduling across multiple providers, clinics, and time zones
  • Respond to patient inquiries accurately and professionally, escalating concerns when appropriate
  • Verify patient demographic information and update records in the EHR system
  • Assist with insurance verification and support insurance-related documentation as needed
  • Support patient check-in and check-out workflows remotely
  • Coordinate referrals, follow-ups, and continuity of care appointments
  • Maintain accurate and confidential patient records in compliance with HIPAA regulations
  • Collaborate closely with clinical and operational teams to optimize patient flow and minimize scheduling gaps
  • Track appointment status, no-shows, and cancellations to support clinic efficiency

Requirements

  • Ability to work remotely Monday through Friday during assigned business hours
  • High school diploma or equivalent; healthcare-related certification is a plus
  • Previous experience in healthcare scheduling, medical front office, or patient coordination preferred
  • Strong verbal and written communication skills with a patient-centered approach
  • Excellent customer service skills with empathy, professionalism, and discretion
  • Proficiency in EHR systems, scheduling platforms, and standard office software
  • Working knowledge of medical terminology and healthcare workflows
  • Experience with insurance verification and basic billing processes preferred
  • Strong organizational skills with the ability to multitask in a fast-paced remote environment
  • Reliable internet connection and a quiet, private workspace
  • Solid understanding of HIPAA and patient confidentiality standards
  • Ability to adapt quickly and handle sensitive or high-stress situations professionally
