Role OverviewWe are looking for a detail-driven and resourceful Project Coordination & Admin Support – Construction professional to assist with the daily coordination and administrative management of construction projects. You will oversee scheduling, documentation, and financial tracking while supporting project managers and ensuring communication flows smoothly between teams, vendors, and clients. The ideal candidate brings strong organizational skills and familiarity with tools like AppFolio, QuickBooks, and Excel.

Key Responsibilities

  • Coordinate project timelines, monitor milestones, and ensure on-time task completion.
  • Prepare and maintain organized records of project documentation and correspondence.
  • Manage expense tracking, budgets, and reporting through AppFolio and QuickBooks.
  • Facilitate communication between internal teams, suppliers, and clients for project updates.
  • Support project managers in administrative duties and resource coordination.
  • Maintain accurate project data and ensure operational consistency across files and platforms.
  • Contribute to improving workflow systems and documentation efficiency.

Mandatory Skills

  • Working knowledge of AppFolio, QuickBooks, and Microsoft Excel.
  • Excellent communication and coordination skills with a focus on professionalism.
  • Strong organizational and administrative capabilities.
  • Ability to work independently, meet deadlines, and manage multiple priorities.
  • Reliable internet connection and remote work discipline.

Preferred Skills

  • Prior experience in construction or property management support.
  • Familiarity with construction software such as Procore or Buildertrend.
  • Previous experience as a virtual assistant in operations or project coordination.
  • Understanding of construction schedules, billing, and financial tracking.
