JOB DESCRIPTION

The Administrative Associate is in charge of providing the Management the necessary administrative support to ensure efficient operations of the office. The role supports the managers and employees through a variety of tasks related to communication and organization.

DUTIES & RESPONSIBILITIES

·       Assists in managing events participated by the company (coordination with organizers, booth and display preparation, etc) to ensure successful participation.

·       Assists the sales team in gathering quotations related to technical and marketing activities like seminars, product presentations and other meetings. Makes travel arrangements for sales team including flight booking, hotel reservation, etc.

·       Plans and coordinate meetings and other events participated by the company and make necessary arrangements for the conduct of the said meetings/ events.

·       Assists the vehicle assignees in gathering quotations related to the upkeep of company vehicles; reminds the vehicle assignees on the scheduled maintenance program for company vehicles.

·       Ensures that technical and promotional materials needed by the sales team are always available for use in their product promotional activities.

·       Ensures that the office is kept in good and clean condition. Oversee the maintenance of office facilities and equipment.

·       Assists with special projects and other duties assigned by the Management.

·       Conceptualizes and implements systems and policies to improve current situation to

help achieve efficiency in the area of responsibility.

QUALIFICATIONS

·       Graduate of any business related course

·       Good written and spoken communication skills, with significant experience on the same responsibility as administrative support from any industry.

·       Meticulous and keen to details. Ability to effectively and consistently deliver on time and as per agreed quality standard. Must be proficient in using MS Office

  • Excellent organizational, interpersonal and communication skills. With admirable work ethics
