We are seeking a highly organized and detail-oriented professional to manage administrative tasks, ensure smooth operations, and maintain our company's high standards.
Key Responsibilities:- Job Coordination & Documentation:
- Handle work orders, change orders, submittals, RFIs, and RFPs by prioritizing tasks efficiently, meeting deadlines, and ensuring accurate documentation.
- Customer & Vendor Communication:
- Communicate effectively with clients, vendors, and contractors via email, phone, and messaging platforms, building strong relationships and resolving issues promptly.
- Project & Office Management:
- Assist with bid preparation, track equipment rentals, material purchases, and change orders, maintaining accurate records and staying up-to-date on project progress.
- Maintain open communication with on-site project managers, ensuring seamless coordination and timely issue resolution.
- Compliance & Safety:
- Support site-specific safety planning and ensure all regulatory paperwork is properly managed, maintaining compliance with industry standards.
- Marketing & Social Media:
- Help develop and implement online strategies to enhance our company's presence, engage customers, and promote brand awareness.
- HVAC Plans & Vendor Pricing:
- Analyze HVAC plans and specifications, requesting pricing from vendors and tracking estimates using project management tools.
- PlanSwift & Estimating Support:
- Utilize PlanSwift to review takeoffs, measure materials, and assist in preparing accurate estimates, ensuring timely completion of projects.
