Financial Operations Coordinator

This role involves providing financial support to our business, ensuring that all transactions are processed accurately and efficiently. The ideal candidate will have experience with cloud-based accounting software and be proficient in financial reconciliation.

Responsibilities:
  • Transaction Processing: Process and categorize approximately 500 monthly transactions to specific jobs.
  • Accounts Payable Management: Manage accounts payable through Bill.com, ensuring zero inbox status.
  • QuickBooks Online Management: Create and maintain jobs in QuickBooks Online, ensuring proper synchronization with Bill.com.
  • Accounts Receivable Management: Handle accounts receivable, including manual invoice entry from custom project management software.
  • Credit Card and Check Reconciliation: Track and reconcile credit card transactions and handwritten checks.
  • Collaboration and Communication: Collaborate with team members via Slack for transaction categorization and monitor and maintain accuracy between multiple financial systems.
  • Purchase Orders and Customer Invoices: Process purchase orders and customer invoices and ensure all customer invoices are properly logged and assigned to correct jobs.
  • Cash Flow Forecasting: Maintain cash flow forecast Google sheet.
  • Reporting: Provide a weekly report (to be defined later) and build job profitability reports upon job completions.
Requirements:
  • QuickBooks Online Certification: QuickBooks Online certification required.
  • Bill.com Experience: Experience with Bill.com preferred.
  • Communication Skills: Strong English communication skills.
  • Data Entry Accuracy: Detail-oriented with high accuracy in data entry.
  • Work Independently: Ability to work independently while following established processes.
  • Cloud-Based Accounting Software: Experience with cloud-based accounting software.
  • Accounting Principles: Knowledge of basic accounting principles and bookkeeping practices.
  • Financial Reconciliation: Proficiency in financial reconciliation.
  • Remote Collaboration: Ability to collaborate effectively in a remote environment.
