Project Management Support Role

Are you a detail-oriented and organized individual with experience in project coordination? We are seeking a skilled professional to provide administrative support to our project managers and technical leads. The successful candidate will be responsible for coordinating daily activities, tracking deliverables, and ensuring timely communication among stakeholders.

Key Responsibilities:
  • Support day-to-day project coordination, including scheduling meetings and managing follow-ups.
  • Track project schedules, action items, and reporting deadlines to ensure seamless execution.
  • Assist in planning meetings, taking notes, and maintaining project documentation.
  • Maintain and regularly update project plans, timelines, and task trackers to ensure up-to-date information.
  • Coordinate communication between internal teams and external partners to facilitate collaboration and success.
  • Prepare draft reports, presentations, and briefing materials as needed to support project delivery.
  • Monitor workstream progress and flag risks or potential delays to prevent project setbacks.
  • Help track contract or grant compliance and maintain related documentation to ensure regulatory adherence.
  • Organize and manage shared folders and files to ensure proper version control and accessibility.
Requirements:
  • Bachelor's degree in Business or related field.
  • 3+ years of experience in project planning, documentation, scheduling, and reporting in complex environments.
  • Strong organizational, time management, and multitasking skills to handle multiple priorities.
  • Excellent communication and interpersonal abilities to collaborate with diverse stakeholders.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., MS Project, Trello, Asana).
  • Ability to work independently with minimal supervision and adapt to shifting priorities.
  • Strong problem-solving skills and attention to detail to ensure high-quality deliverables.
