At Ketone-IQ, we're scaling into the retail world rapidly and looking for an exceptional Order Operations Lead.

Responsibilities
  • Manage the order to cash cycle: From order receipt through customer delivery, invoice preparation, and payment collection. Ensure seamless execution, accuracy, and timely completion of tasks.
  • Customer Support: Provide pre-order assistance, including systemic setup, customer-specific SOPs, and ensuring orders are ready to process.
  • Process Development: Build sustainable processes and systems from scratch, focusing on efficiency and scalability as we onboard new Commercial customers and expand our Customer Operations team.
  • Order Operations SOPs: Create and manage comprehensive SOPs specific to different sales channels and customers.
  • Data Integrity: Maintain strong data integrity in all order operations systems associated with order entry, order fulfillment, order management, and order invoicing (QBO).
  • Month's End Reconciliation: Lead month's end reconciliation from the Order Operations perspective and provide fully vetted reporting to Accounting, ensuring accurate order entries and system reconciliations.
  • Automation Expertise: Develop workflows using connectors like Zapier, Make, N8N, Parabola, etc., to significantly reduce manual work and improve team efficiency.
Requirements
  • Full-Time US-Based Work Hours: Ability to work full-time hours within the United States.
  • Automations Expert: Proficiency in automating processes with Zapier, Make, N8N, and other tools. Ability to identify and connect systems for efficient workflow management.
  • Excellent Communication Skills: Excellent written and verbal communication skills, particularly in a customer-facing role.
  • Elite Organization Skills: Strong organizational skills and attention to detail, enabling effective task management and prioritization.
  • Process Orientation: Ability to identify, define, create scalable processes, and implement them with team members both internally and externally.
  • Order Processing Experience: Proven experience in order processing, including EDI, B2B, and manual orders, with a strong background in ERP systems.
  • Experience Managing Direct Reports: Experience in managing direct reports and leading teams to achieve desired outcomes.
  • US Food & Beverage Order Operations: 2+ years of experience working in US food and beverage order operations with distributors like UNFI & Kehe and retailers like Target.
  • Fully Remote Work Environment: Ability to thrive in a fully remote work environment with minimal supervision.
