
Administrative Support Specialist

This is a remote position that involves providing administrative assistance to senior leadership in a fast-paced, project-driven organization.
The successful candidate will be responsible for managing calendars, scheduling meetings, and coordinating across multiple stakeholders. They will also draft, edit, and format high-quality documents, reports, and presentations using Microsoft Word and other Microsoft Office tools.
Maintaining organized filing systems for contracts, project documentation, and corporate records is essential in this role. The candidate must handle email and phone correspondence with professionalism and discretion, acting as a liaison between executives, clients, and internal teams.
In addition, they will track project timelines, milestones, and deliverables, assist in coordinating special initiatives, and ensure tasks are completed on time and to required standards. Conducting research and compiling data for reports, presentations, and executive decision-making is also an important part of this role.
Requirements- A minimum 2.5-5 years of proven experience as an Executive Assistant, Executive Administrative Assistant, or in a similar high-level administrative role; industry experience in construction management, engineering, or related fields preferred.
- Advanced skills in Microsoft Word; working knowledge of other Microsoft Office applications including Excel, PowerPoint, Outlook, and SharePoint.
- Exceptional ability to manage multiple priorities, maintain detailed records, and uphold deadlines in a fast-paced, project-driven environment.
- Strong written and verbal communication abilities, with the tact and professionalism required for client-facing correspondence.
- Self-motivated, resourceful, and able to work with minimal supervision while maintaining alignment with executive priorities.
