Executive Assistant for Construction

We are seeking an experienced Executive Assistant with a background in the construction industry to join our team.

Job Description:

The ideal candidate will have at least 3 years of experience as an Executive Assistant to C-levels and a Bachelor's degree in Business Administration or related field. They should be familiar with the construction industry and its operations, with strong organizational and time-management skills. Excellent English communication skills: reading, writing, and speaking are essential. Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software is required.

  • Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations specific to construction projects.
  • Handle confidential information with discretion, ensuring compliance with industry regulations.
  • Assist in organizing and maintaining project documentation, contracts, and permits.
  • Coordinate communication between executives, clients, subcontractors, and on-site teams.
  • Monitor project timelines and deliverables, providing updates to executives as needed.
  • Conduct research related to construction materials, vendors, and industry best practices.
  • Manage expense reports and assist in budget tracking for construction projects.
  • Organize and maintain the executive's filing system, both electronic and physical.

Required Skills and Qualifications:

  • Minimum of 3 years of experience as an Executive Assistant to C-levels.
  • Bachelor's degree in Business Administration or related field preferred.
  • Familiarity with the construction industry and its operations is highly desirable.
  • Strong organizational and time-management skills.
  • Excellent English communication skills: Reading, Writing, and Speaking.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
  • Ability to work independently and handle multiple tasks with a high degree of accuracy.
  • High attention to detail and problem-solving skills.
