As an Executive Assistant with a background in the construction industry, you'll play a vital role in supporting executives and ensuring seamless day-to-day operations.

Key Responsibilities
  • Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations specific to construction projects.
  • Handle confidential information with discretion, ensuring compliance with industry regulations.
  • Assist in organizing and maintaining project documentation, contracts, and permits.
  • Coordinate communication between executives, clients, subcontractors, and on-site teams.
  • Monitor project timelines and deliverables, providing updates to executives as needed.
  • Conduct research related to construction materials, vendors, and industry best practices.
  • Manage expense reports and assist in budget tracking for construction projects.
  • Organize and maintain the executive's filing system, both electronic and physical.
Qualifications
  • A minimum of three years of experience as an Executive Assistant to C-level executives is required.
  • Bachelor's degree in Business Administration or a related field is preferred.
  • Three years of experience as an executive assistant or in a similar administrative role is essential.
  • Familiarity with the construction industry and its operations is highly desirable.
  • Strong organizational and time-management skills are necessary.
  • Excellent English communication skills include reading, writing, and speaking proficiency.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software are required.
  • Ability to work independently and handle multiple tasks with a high degree of accuracy is essential.
  • High attention to detail and problem-solving skills are necessary.
  • Tech-savviness with knowledge of cloud-based systems and virtual communication tools is highly desirable.
