Financial Operations Specialist

About The Role

We're seeking a highly skilled Financial Operations Specialist to join our team. This is an exciting opportunity for you to leverage your expertise in accounts payable, accounts receivable, and billing to drive business growth.

Your primary responsibility will be to ensure accurate financial reporting, maintain seamless financial workflows, and collaborate with various teams across different time zones.

Main Responsibilities
  • Accounts Receivable

    • Timely issuance and management of accurate billing based on shipment documentation and logistics agreements.

    • Maintaining aging reports and effectively following up on overdue invoices.

    • Reconciling short payments and discrepancies before reaching out to clients, ensuring smooth client communication.

    • Balancing customer accounts and supporting the month-end AR closing and reporting.

  • Accounts Payable

    • Processing and coding vendor invoices correctly, ensuring approvals and accurate postings.

    • Reconciling vendor statements and resolving discrepancies efficiently.

    • Ensuring timely vendor payments, maintaining audit-ready documentation, and assisting with month-end closing processes.

  • Billing

    • Preparing and managing billing across trucking and warehousing divisions.

    • Addressing and offering resolution for billing discrepancies or issues raised by clients or internal teams.

    • Ensuring billing aligns with logistics-specific systems and operations.

  • Financial Administration & Process Improvement

    • Assisting in AR/AP reconciliations during monthly close.

    • Generating reports (aging summaries, cash flow insights) to support leadership decisions.

    • Suggesting improvements to workflows for better efficiency and accuracy across financial processes.

  • Collaboration & Communication

    • Working closely with operations, customer service, and external vendors to support invoicing and payment coordination.

    • Communicating effectively across U.S. and PH time zones (via Slack, email, or calls).

    • Maintaining clear documentation and supporting continuous improvement initiatives.

Requirements
  • 3+ years of combined Accounts Payable, Accounts Receivable, or Billing experience
  • Strong proficiency in Excel (pivot tables, formulas, VLOOKUPs) and experience with tools like Bill.com or ERP systems
  • Exceptional attention to detail and problem-solving capabilities
  • Excellent English communication skills, both written and verbal
  • Familiarity with logistics terminology, TMS platforms, or freight documentation is highly desirable
