Job Summary">

We are seeking an experienced Onboarding Coordinator to join our team.

The ideal candidate will have a proven track record of managing complex onboarding processes, ensuring seamless transitions for temporary education professionals.

As an Onboarding Coordinator, you will be responsible for verifying state licensure, credentials, and certifications, as well as coordinating background checks, TB tests, and fingerprinting requirements.

Key Responsibilities:

  • Onboarding Management: Manage onboarding workflows from offer to start date, ensuring timely submission of documents.
  • Verification and Compliance: Verify state licensure, credentials, and certifications for school personnel, maintaining accurate records in internal systems.
  • Background Checks and Compliance: Coordinate and track background checks, TB tests, fingerprinting, and other pre-employment requirements.
  • Record Maintenance: Maintain accurate and up-to-date records in internal systems and client portals.
  • Communication: Communicate with contractors regularly to ensure timely submission of onboarding documents.
  • Collaboration: Liaise with recruiters, account managers, and school district contacts to meet onboarding deadlines.
  • Audit and Compliance: Conduct routine audits to ensure contractor files remain compliant throughout assignments.
  • Process Improvement: Keep up to date with state-specific school staffing regulations and adjust processes as needed.
  • Payroll Support: Perform payroll support tasks, including ensuring all contractor information is complete and accurate for payroll processing.
  • Timesheet Review: Review weekly timesheets for completeness and accuracy, flagging discrepancies for resolution.
  • Payment Coordination: Coordinate with the payroll team to ensure timely and accurate payment to contractors.
  • Contractor Support: Serve as the primary point of contact for contractor pay-related questions.
  • Pay Rate Updates: Assist with pay rate updates, stipend tracking, and contractor time off documentation.
  • Compliance: Help maintain compliance with wage and hour laws across multiple states.
  • Contract Management: Prepare and send client contracts to school district contacts for review and signature.
  • Contract Tracking: Track the status of outgoing contracts and follow up to ensure timely return.
  • Contract Record Keeping: Maintain organized records of signed contracts and related documentation.
  • Interdepartmental Collaboration: Coordinate with internal teams to ensure contract terms are accurately reflected in billing and compliance workflows.
  • Contract Status Updates: Serve as a liaison between sales, HR, and operation teams regarding client contract status and updates.
Requirements
  • Education: Bachelor's degree in the related field preferred.
  • Experience: Minimum 2+ years of experience in an onboarding, compliance, or credentialing role required.
  • Knowledge and Skills: Strong knowledge of school district onboarding and credentialing requirements preferred, familiarity with background check processes, fingerprinting requirements, and state-specific compliance laws.
  • Organizational Skills: Excellent organizational skills with the ability to handle multiple priorities in a fast-paced environment.
  • Communication Skills: Clear written and verbal communication skills.
  • Problem-Solving: Detail-oriented and process-driven, with a proactive approach to problem-solving.
  • Teamwork: Ability to work independently and collaboratively across teams.
