Job Title: Appointment CoordinatorJob Overview:

We are seeking a highly skilled and organized professional to fill the role of Appointment Coordinator. The successful candidate will be responsible for delivering exceptional customer service, ensuring seamless scheduling experiences, and contributing to the success of our team.

Key Responsibilities:
  • Respond promptly and professionally to inbound calls, emails, and other forms of communication.
  • Demonstrate excellent customer service skills, striving to exceed expectations and build strong relationships with clients and colleagues.
  • Effectively schedule estimators and service technicians, ensuring timely completion of tasks and meetings.
  • Routinely assign and route digital marketing leads to the appropriate business units, maintaining accurate records and tracking progress.
  • Maintain and update client files in an organized manner, adhering to established protocols and best practices.
  • Provide assistance with pricing inquiries, responding promptly and providing clear information to ensure customer satisfaction.
Requirements:
  • Microsoft Office Suite: 2+ years of experience (Required)
  • Administrative Experience: 2+ years of experience (Required)
  • Familiarity with project management tools, such as Procore, Bluebeam, or Service Titan (Preferred)
  • Exceptional written and verbal communication skills in English.
  • Outstanding customer service skills, with a professional phone presence and ability to multitask.
  • Strong organizational and time management abilities, with a focus on prioritization and adaptability.
  • High attention to detail, accuracy, and thoroughness in all aspects of work.
  • Ability to work independently and collaboratively as part of a team.
  • Flexibility and adaptability in response to changing schedules or priorities.
  • Proficiency in Windows, Excel, Word, and Outlook.
  • Problem-solving skills, with the ability to identify and resolve complex issues efficiently.
  • Self-motivation and ability to thrive in a fast-paced environment, focusing on delivering exceptional customer experiences through organization and effective communication.
Work Schedule:
  • Monday – Friday: 5:00 AM – 1:00 PM
  • Optional overtime: Saturday/Sunday: 7:00 AM – 11:00 AM
