Executive Assistant

A proactive and highly organized Executive Assistant is needed to support our leadership team in a fast-paced environment. The ideal candidate will be responsible for handling a wide range of administrative, operational, and marketing tasks.

  • Manage calendars, schedule appointments, and organize meetings for executives.
  • Handle email management: draft, respond, and organize communications.
  • Provide regular updates to the CEO on ongoing tasks and projects.
  • Ensure the CEO is reminded of upcoming tasks and deadlines.
  • Assist with preparing reports, presentations, and materials.
  • Maintain accurate records and manage digital filing systems.

Marketing Support:

  • Collaborate with the marketing and operations team on promotional campaigns, content creation, and social media management.
  • Assist with the creation of marketing materials and assets.

Other Responsibilities:

  • Conduct research and compile information for special projects.
  • Act as a point of contact between executives and internal/external stakeholders.
  • Assist in ad-hoc tasks as required.

Qualifications:

  • Proven experience as an Executive Assistant or similar role preferably with marketing background.
  • Experienced Nurse.
  • Preferably with one year of experience working with AI technologies.

Skills:

  • Strong organizational skills with attention to detail.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Familiarity with remote collaboration tools.
  • Proficiency in Google Workspace (Gmail, Google Docs, Google Sheets) or Microsoft Office (Word, Excel, Outlook).
  • Marketing experience in content creation, social media management, and promotional campaigns.

Technical Requirements:

  • Internet: Reliable High-Speed Internet.
  • Computer: Intel i3 or equivalent processor, 8GB RAM, High or SSD storage, Operating System: Windows 10 or macOS 10.15 (Catalina) or higher.
  • Video Conferencing: Headset: Noise-canceling headphones with a microphone, Workspace: Quiet, private area for confidential communications, Backup Power: Uninterruptible Power Supply (UPS) or alternate power source.

Other Requirements:

  • Education: A diploma from a four-year college education.
  • Identification: Candidates must provide a valid government-issued identification.
  • Proof of Residency: A recent utility bill or bank statement reflecting the candidate's current address.
  • Background Check: Consent to undergo a background check as part of the hiring process.
