The role of the Administrative Assistant will be to provide support to the Finance Manager in various administrative tasks.

Key Responsibilities:
  • Petty Cash Management:
    • Handle and maintain accurate records of petty cash transactions.
    • Reconcile petty cash balances and ensure proper documentation for expenses.
  • Liaison with Tax Authorities & Support on Audit Activities:
    • Oversee tax reporting and compliance
    • Assist in the preparation and submission of tax documents for all types of taxes/in-market auditing.
    • Serve as the point of contact for communication and work with local tax authorities & auditors.
    • Coordinate audits and respond to queries or notices in a timely manner.
    • Prepare and submit required reports to the government or auditors.
    • Minimize tax exposure by analyzing financial data and identifying tax savings opportunities.
  • Advisory Role:
    • Advise management and stakeholders on the impact of new laws on tax liabilities;
    • Keep abreast of changes and developments in tax legislation;
    • Analyze financial data to identify areas for cost reduction and efficiency improvements.
  • Bank Coordination:
    • Manage relationships with local banking partners.
    • Collaborate with local banks to obtain necessary documentation as needed by the business.
    • Support account opening/closure, fund transfers, and other banking operations.
    • Ensure timely deposit of collections and withdrawals in line with company policy.
  • Coordination with Messengers and Couriers:
    • Supervise and schedule messengers for inter-office or external document delivery.
    • Track and ensure timely delivery/pickup of important documents and packages.
    • Maintain a log of all deliveries and ensure proper documentation is retained.

Requirements:

  • Bachelor's degree in finance, accounting, business administration, or related field.
  • 5-6 years of relevant experience in a finance or administrative role.
  • Familiarity with local tax regulations and banking procedures.
  • Good interpersonal and communication skills (English required).
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office (especially Excel).
  • Experience working in a multinational or cross-functional environment.
  • Proactive attitude and ability to work independently.
  • High integrity and attention to detail.
