AI Startup Operations Executive

We're hiring a high-trust Executive Assistant to support the COO of a cutting-edge AI startup. This mission-critical role will help the leadership team operate at maximum focus, clarity, and efficiency.
The ideal candidate is detail-oriented, tech-savvy, and has exceptional written English skills. They should be able to deliver high-quality results in a fast-paced environment while maintaining confidentiality and discretion.
Key Responsibilities- Calendar & Communications: Manage the COO's calendar, prioritize tasks, schedule meetings, and ensure follow-ups are sent.
- Project & Task Management: Track ongoing projects, highlight blockers, and follow through on deadlines using tools like Notion and Airtable.
- Meeting & Documentation Support: Join key meetings, take high-quality notes, summarize action items, prepare agendas, presentation decks, and pre-read materials.
- Administrative & Personal Task Execution: Coordinate travel, handle light personal admin, liaise with vendors, and support team operations as needed.
- At least 3 years of experience supporting a senior executive in a high-growth tech or startup environment.
- Fluent, polished written English and strong email communication skills.
- Detail-oriented and design-literate, with the ability to deliver clean and beautiful results.
- High emotional intelligence, knowing when to step in, step back, and how to support quietly but powerfully.
- Tech-savvy and familiar with Slack, Google Workspace, Zoom, Notion, and project tracking tools.
