Front Desk Receptionist

Job Summary

The primary role of the Front Desk Receptionist is to provide exceptional customer service and support to patients and customers in a fast-paced clinic environment.

Key Responsibilities:

  • Handle patient or customer inquiries and concerns in a timely and professional manner.
  • Greet all patients and customers upon entry in a friendly, courteous, and welcoming manner.
  • Answer inquiries regarding clinic services and products efficiently.
  • Manage telephone calls promptly and effectively.
  • Log all inquiries and monitor reports.
  • Endorse scheduled patients to the appropriate personnel.
  • Address patient complaints and refer them to the relevant staff member.
  • Maintain high standards of customer service through excellent communication skills.
  • Ensure that promotional materials are readily available for patients and customers.
  • Schedule patients for treatment and services efficiently.
  • Confirm patient appointments the day before and reconfirm 15 minutes prior to the scheduled treatment.
  • Prepare patient lists and contact information for distribution.
  • Coordinate with doctors and aestheticians regarding patient schedules.
  • Maintain accurate records of patient charts and information.
  • Pull out charts as necessary and return them to their designated places.
  • Others:
  • Maintain orderliness and cleanliness in reception and waiting areas.
  • Report any maintenance needs or supplies required.
  • Participate in promotional activities and sales via phone or direct customer interaction.
  • Attend meetings and training events.
  • Comply with company policies and procedures.
  • Lend support or assistance as needed in other clinics.

Qualifications:

  • Candidate must possess at least a Bachelor's Degree in Business Studies, Administration, Management, Hospitality, Tourism, Hotel Management, Mass Communication, or equivalent.
  • At least 3 years of working experience in the related field is required.
  • Outstanding customer service orientation.
  • Excellent communication skills.
  • Tact, courtesy, and initiative.
