As a key member of our team, you will play a pivotal role in supporting the growth and success of small businesses. Your responsibilities will include managing the CEO's inbox and task list, ensuring timely follow-ups and clear priorities. You will also schedule meetings, coordinate calls, and assist with business communication. In addition, you will be responsible for shifting invoicing to QuickBooks, handling sending, tracking, and collecting payments. Furthermore, you will prepare and maintain essential client documents like W9s and COIs, help create and document standard operating procedures for smoother operations, assist in setting up tools and systems to improve workflow efficiency, support bid tracking and internal organization for future growth opportunities, and act as a proactive and dependable support to the CEO in a fast-paced environment.
Required Skills and Qualifications
  • 5+ years experience in an operational and executive assistant role.
  • Highly detail-oriented and thrives on clarity, structure, and follow-through.
  • Proactive and takes initiative—anticipates needs before being asked.
  • Tech-savvy with tools like QuickBooks, Google Workspace, Slack, and Zoom.
  • Communicates clearly and professionally, both in writing and over the phone.
  • Able to manage shifting priorities and work independently with minimal supervision.
Benefits

Our competitive compensation package includes $1000 - $1500/mo. depending on experience, $500 bonus at 90 days, and $1,800 available in annual performance bonuses. We also offer comprehensive benefits, including HMO policy, 13th month pay, and performance-based bonuses.

Others

This is a full-time opportunity with a regular schedule of 9AM - 5PM CST. As an employee of Offshore Launch, all compensation and benefits are provided by the agency. We value long-term partnerships and seek to recruit talent that will serve individual Clients' businesses for multiple years.
