Job Overview

The Financial Operations Specialist will manage financial activities, including accounts payable, accounts receivable, and billing.

Key Responsibilities:
  • Accounts Receivable
    • Process timely and accurate billing based on shipment documentation and logistics agreements.
    • Maintain aging reports and follow up on overdue invoices with a thoughtful approach.
    • Reconcile short payments and discrepancies before client communication.
    • Balance customer accounts and support month-end AR closing and reporting.
  • Accounts Payable
    • Process and code vendor invoices correctly, ensuring approvals and accurate postings.
    • Reconcile vendor statements and resolve discrepancies efficiently.
    • Ensure timely vendor payments and maintain audit-ready documentation.
  • Billing
    • Prepare and manage billing for trucking and warehousing divisions.
    • Address and offer resolution for billing discrepancies or issues.
    • Align billing with logistics-specific systems and operations.
  • Financial Administration & Process Improvement
    • Assist in AR/AP reconciliations during monthly close.
    • Generate reports to support leadership decisions.
    • Suggest improvements to workflows for better efficiency and accuracy.
  • Collaboration & Communication
    • Work closely with operations and external vendors for invoicing coordination.
    • Communicate effectively across different time zones.
    • Maintain clear documentation and support continuous improvement initiatives.
Requirements:
  • 3+ years of combined AP/AR/Billing experience
  • Strong Excel skills and experience with tools like Bill.com or ERP systems
  • Exceptional attention to detail and problem-solving capabilities
  • Excellent English communication skills, written and verbal
  • Familiarity with logistics terminology is desirable
