As a highly organized and proactive individual, you will support our team with various operational tasks, ensuring smooth administrative operations.

This position is ideal for someone who can maintain daily schedules, manage communication channels, and oversee key responsibilities such as:

  • Managing and updating calendars, scheduling meetings, and setting up appointments
  • Utilizing Asana for task tracking and project management
  • Assisting with reviewing and managing contracts, ensuring accurate and up-to-date documentation
  • Organizing and reviewing receipts, tracking purchases and expenses
  • Maintaining and managing travel logs, including travel arrangements and documentation
  • Screen recording all meetings and using Otter for transcription and meeting notes
  • Conducting regular file reviews to ensure complete and organized records
  • Handling email management, sorting, prioritizing, and responding to messages on behalf of the team

To excel in this role, you must possess:

  • Proven experience as an Administrative Assistant or similar role
  • Proficiency with Asana, calendar management tools, and email platforms
  • Strong attention to detail and organizational skills
  • Excellent communication skills and ability to manage multiple tasks effectively
  • Familiarity with transcription tools (e.g., Otter) and screen recording software preferred
