Senior Executive Support Specialist

We are seeking a highly organized and skilled administrative professional to join our team as a Senior Administrative Coordinator. As a key member of our staff, you will provide exceptional support to our executive and ensure seamless operations within the organization.
Key Responsibilities:- Calendar Management: Organize and manage the executive's schedule, including setting up meetings, appointments, and events. Coordinate with internal and external stakeholders to ensure efficient time management.
- Travel Arrangements: Book and coordinate travel arrangements, including flights, accommodation, and ground transportation, for the executive and sometimes for visiting clients or partners.
- Communication Management: Act as a gatekeeper and manage all incoming and outgoing communications on behalf of the executive. Screen phone calls, manage emails, and draft correspondence.
- Meeting Coordination: Schedule, prepare for, and attend meetings. Create and distribute agendas, take minutes, and follow up on action items to ensure deadlines are met.
- Documentation and Reporting: Manage, organize, and maintain important documents, files, and records. Compile and format materials for presentations or reports.
- Project Support: Assist with various projects by gathering data and preparing reports or presentations as needed. Coordinate project timelines and ensure tasks are on track.
- Relationship Management: Build and maintain positive relationships with clients, partners, and key stakeholders. Attend meetings, events, and network on behalf of the executive, and act as a liaison between different departments or external parties.
- Office Administration: Assist with general administrative tasks, such as ordering supplies, managing office equipment, and coordinating IT for any executive needs.
- Bachelor's degree in Secretarial or equivalent field.
- Technical proficiency in MS Office applications (Outlook, Excel, PowerPoint, Word) and Project Management Tools.
- Excellent verbal and written communication skills.
- Strong interpersonal skills, including building and maintaining relationships with executives, colleagues, clients, and vendors.
- Ability to think quickly and recommend solutions, troubleshoot effectively, and adapt to changing priorities and deadlines.
- Proactive mindset, strong work ethics, integrity, trustworthiness, flexibility, diversity, customer service orientation, leadership/coaching skills, and team-building abilities.
