We are seeking a highly skilled Administrative Professional to join our team.
Job Summary:This role involves managing front-office communications, financial transactions, and project coordination duties. The ideal candidate will possess strong organizational skills, attention to detail, and excellent communication abilities.
Key Responsibilities:- Receive and direct phone calls as needed, taking accurate messages when necessary
- Enter work orders into the system and update job statuses in a timely manner
- Prepare and process invoices with precision and meet deadlines
- Assist with accounts payable and receivable entries, maintaining accurate records
- Conduct research on permit and license requirements for new projects
- Maintain and organize digital records for jobs, invoices, and documentation, ensuring easy accessibility
- Provide administrative support to management and field staff, handling confidential information with discretion
- Proven experience in an administrative or bookkeeping role, demonstrating expertise in QuickBooks and Microsoft Office (Excel, Word, Outlook)
- Excellent phone etiquette and communication skills, enabling effective interaction with colleagues, clients, and stakeholders
- Strong organizational and multitasking abilities, allowing seamless management of multiple tasks and responsibilities
- Ability to work independently, handle confidential information, and maintain a professional demeanor in all interactions
