We are seeking a detail-oriented and organized Home-Based Administrative Assistant to join our team in the United States.
This exciting opportunity involves handling various administrative tasks, including processing mail, managing vendor orders, tracking production schedules, and maintaining accurate records.
Our ideal candidate has 3-5 years of experience in Customer Service, Data Entry, or similar roles. You should have excellent communication skills, both written and verbal, and be proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and Google Suite (Sheets, Gmail, etc.). Familiarity with tools such as Wild Apricot, JotForm, Canva, SharePoint, and social media platforms is also required.
- Key Responsibilities:
Process incoming and outgoing mail, sorting and routing it accordingly
Provide exceptional customer service, demonstrating strong interpersonal skills
Sort and distribute vendor invoices to billing and accounts payable departments
Order and manage product inventory, receive documentation, and forward information to the ASB inventory/sales support team
Track orders from production schedule to delivery date, using a workflow management system
Manage backorder processes, identifying backorders and replacing them with comparable products
Reduce accounts receivable aging through proactive management
Assist clients with administrative duties
Create and update records, ensuring accuracy and validity of information
Create, maintain, and enter information into databases
Perform ad-hoc duties as assigned
