We are seeking a detail-oriented Real Estate Operations Coordinator to support our brokerage. This role is heavily focused on administrative support for agents, marketing coordination, and day-to-day real estate office operations.

About the Position

This is a chance to play a vital role in supporting a high-performing real estate office. You'll be at the center of operations, helping agents succeed while keeping the business running smoothly.

Key Responsibilities:
  • Agent Support & Concierge Services
    • Assist with agent onboarding and maintain checklists for new hires.
    • Provide day-to-day agent concierge support and respond promptly to requests.
    • Order, schedule, and coordinate installation/removal of real estate signs.
  • Marketing & Design
    • Create and update marketing materials (flyers, just listed/just sold posts, welcome posts, market updates) using Canva.
    • Update agent profiles, headshots, and bios on websites.
    • Coordinate monthly marketing pieces and assist with digital/social media campaigns.
    • Support agents with custom listing/buyer template updates and requests.
  • Real Estate Operations
    • Access MLS to pull photos and property data.
    • Conduct research for the Commercial Team (e.g., compile property data from Crexi).
    • Monitor listings and leads on set schedule (M/W/F), and forward leads to appropriate contacts.
    • Maintain organizational checklists (onboarding, terminations, etc.).
    • Follow/Update and organize SOPs and documentation to streamline processes.
  • General Administrative Support
    • Assist with scheduling, task tracking, and workflow management.
    • Communicate proactively with leadership and confirm details when needed.
    • Support email communication, lead assignment, and follow-up as directed.
    Requirements
    • Prior experience as an administrative assistant in real estate (RE office, brokerage, or transaction role).
    • Familiarity with real estate technology platforms and MLS access.
    • Strong skills in Canva; graphic design/digital/social media experience preferred.
    • Highly organized, detail-oriented, and reliable.
    • Excellent written and verbal English communication.
    • Tech-savvy; comfortable using CRM, digital marketing tools, and AI-assisted platforms.
