Executive Assistant Job Description

We are seeking a highly skilled and organized Executive Assistant to support our executive team at Anytime Cleaners Corp.

The ideal candidate will have a strong understanding of the Microsoft Office suite, excellent problem-solving skills, and experience as an executive or administration assistant.

Key Responsibilities:
  • Prepare financial statements, reports, and other documents
  • Answer phones and route calls to the correct person or take messages
  • Handle basic bookkeeping tasks
  • Filing and retrieving corporate records, documents, and reports
  • Research and conduct data to prepare documents for review and presentation
  • Help prepare for meetings and accurately record minutes
  • Greet visitors and decide if they should meet with executives
  • Use various software, including word processing, spreadsheets, databases, and presentation software
  • Read and analyze incoming memos, submissions, and distribute them as needed
  • Make travel arrangements for executives
  • Perform office duties, including ordering supplies and managing a records database
  • Experience as a virtual assistant
  • Open, sort, and distribute incoming faxes, emails, and other correspondence
  • Provide general administrative support
Requirements:
  • Proven experience as an executive assistant or other relevant administrative support experience
  • In-depth understanding of the entire MS Office suite
  • High school diploma/College Graduate
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Professional level verbal and written communications skills
  • Must know how to drive is a plus
