Job Opportunity

This is a remote full-time position that involves managing various administrative and financial tasks. We are looking for an organized Bookkeeping Admin Assistant to work under the guidance of an Admin Manager in our company.

  • Assist with financial statements, maintain cash controls, supervise payroll and personnel administration, manage accounts payable, handle purchasing and payments, and support general office duties.

The role requires adherence to our established policies and procedures.

Responsibilities
  • Utilize Xero financial accounting software.
  • Prepare and reconcile bank statements.
  • Ensure accurate data entry into the Xero system.
  • Establish and maintain supplier accounts.
  • Properly record transactions in the computerized accounting system.
  • Enter bills into Xero.
  • General bookkeeping services.
  • Prepare construction claims invoices per job on a monthly basis.
  • Manage payroll, Single Touch Payroll, and superannuation payments.
  • Prepare BAS reports.
  • Reconcile accounts receivable and accounts payable.
  • Reconcile credit cards (NAB, AMEX, Latitude Global).
  • Conduct supplier reconciliations and send email remittances.
  • Perform general administrative duties, including correspondence (emails, letters, memos).
  • Reconcile contractor payments.
  • Request safety documents from subcontractors when necessary.
  • Organize online storage documents for various projects.
  • Upload OHS documents to Site Book/OHS program.
  • Update cost build-up for all projects on a monthly basis.
  • Email weekly construction updates every Friday.
  • Manage online banking – create payments as required.
  • Update insurances and VicRoads spreadsheet.
  • Update cash flow with monthly invoicing.
  • Respond to inquiries from consultants, accounts, and directors.
