Job Summary

We are seeking a highly organized and detail-oriented Construction Support Specialist to join our team. The successful candidate will provide administrative support to senior executives, handle confidential information with discretion, and ensure compliance with industry regulations.

This is a remote job opportunity that offers flexibility and work-life balance. As a Construction Support Specialist, you will be responsible for managing executive calendars, coordinating meetings and travel arrangements, and preparing correspondence, reports, and presentations.

Key Responsibilities
  • Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements
  • Prepare and edit correspondence, reports, and presentations specific to construction projects
  • Handle confidential information with discretion, ensuring compliance with industry regulations
  • Assist in organizing and maintaining project documentation, contracts, and permits
  • Coordinate communication between executives, clients, subcontractors, and on-site teams
  • Monitor project timelines and deliverables, providing updates to executives as needed
  • Conduct research related to construction materials, vendors, and industry best practices
  • Manage expense reports and assist in budget tracking for construction projects
  • Organize and maintain the executive's filing system, both electronic and physical
  • Perform general administrative tasks to support the executive team
Requirements

To be successful in this role, you should have:

  • A minimum of 3 years of experience as an Executive Assistant to C-levels (CEO, COO etc)
  • Bachelor's degree in Business Administration or related field preferred
  • At least 3 years of experience as an executive assistant or in a similar administrative role
  • Familiarity with the construction industry and its operations is highly desirable
  • Strong organizational and time-management skills
  • Excellent English communication skills: High proficiency for reviewing detailed documents, drafting professional correspondence, and clear and professional communication with clients and team members
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software
  • Ability to work independently and handle multiple tasks with a high degree of accuracy
  • High attention to detail and problem-solving skills
  • Tech-savvy with knowledge of cloud-based systems and virtual communication tools
