Key Role Overview

This high-level position serves as the strategic backbone of a rapidly expanding real estate business. As primary gatekeeper to the founder, you will manage communications, optimize schedules, and drive key initiatives forward.

Responsibilities:
  • Inbox & Communications Management: Triage, respond, and manage critical communications with clients, team members, and industry partners.
  • Strategic Calendar Optimization: Coordinate the founder's dynamic schedule across multiple time zones to ensure preparedness and timeliness.
  • Project & Deal Flow Support: Facilitate communication and follow-up on key real estate projects and deals.
  • Travel & Logistics Coordination: Handle professional and personal travel logistics from start to finish.
  • Personal Support: Manage the founder's personal life to maintain a seamless experience.
  • Proactive Problem-Solving: Identify and address operational bottlenecks before they become major issues.
Requirements:
  • Proven experience in senior Virtual Assistant, Executive Assistant, or Operations Manager roles.
  • Background in the real estate industry (US, CA, AU, etc.) is beneficial.
  • Exceptional written and verbal communication skills in English.
  • Able to solve complex logistical problems autonomously and creatively.
  • Tech-savvy with Google Workspace (Gmail, Calendar, Drive) and modern productivity tools.
