  • Key Responsibilities:
  • Property Management:
  • Create and maintain accurate records of commercial lease abstracts for internal reference purposes.
  • Certificate Management:
  • Track and verify Certificates of Insurance (COIs) for vendors and tenants.
  • Email Communications:
  • Draft and send professional email communications and formal letters to tenants.
  • Rent Increases:
  • Monitor and prepare notifications for annual rent increases.
  • Work Order Coordination:
  • Assist in scheduling and coordinating work orders for building engineers to ensure timely completion.
  • System Setup:
  • Oversee the new vendor and tenant setup process in company systems.
  • Contract Preparation:
  • Prepare contracts for third-party vendors.
  • Invoice Coding:
  • Ensure timely vendor payments by coding invoices accurately.
  • Accounts Receivable:
  • Monitor monthly accounts receivable to track rent payments and outstanding balances.
  • Budgeting Assistance:
  • Support property managers in preparing annual operating budgets.
  • Project Research:
  • Gather bids and proposals for Capital Expense (CapEx) projects and non-CapEx repairs.
  • Reporting and Record Keeping:
  • Utilize Excel and SharePoint for tracking and reporting tasks, maintaining accurate records, and supporting research and special projects as required.
