Administrative Support Specialist

We are seeking an experienced and skilled Administrative Support Specialist to join our team. In this role, you will be responsible for providing administrative support to our operations team, including email monitoring, appointment confirmations, internal updates, and document management.

Key Responsibilities:
  • Administrative Support: Provide day-to-day administrative tasks including email monitoring, appointment confirmations, internal updates, and document management to support field and office operations.
  • CRM Support (FieldPulse): Manage and update the FieldPulse CRM as needed, including scheduling estimates, organizing job data, assigning technicians, and ensuring all records are accurate and up to date.
  • Communication Coordination: Monitor and respond to client inquiries professionally via email or CRM, providing accurate information, following up on pending estimates, and flagging leads for the sales team.
  • Operational Assistance: Support field service logistics by coordinating job schedules, tracking project timelines, and facilitating smooth handoffs between estimators, technicians, and customers.
Requirements:
  • Administrative Experience: Minimum 5+ years of proven experience supporting service-based or construction industry businesses in a virtual assistant or operations support capacity.
  • FieldPulse CRM Knowledge: Prior hands-on experience using FieldPulse is strongly preferred; must be comfortable with job scheduling, notes, and contact tracking.
  • Strong Written Communication: Excellent email etiquette and fluent written English for client communication and internal updates.
  • Detail-Oriented & Organized: Able to juggle multiple schedules, job statuses, and follow-ups without letting anything fall through the cracks.
  • Tech-Savvy & Independent: Quick to learn new software tools and operate autonomously without needing daily oversight.
  • Industry Awareness (Preferred): Familiarity with residential services, home improvement, or decorative concrete terminology and workflows is a major plus.
  • Work Setup Advantage: Having dual screens to enhance efficiency is an advantage.
