Front Office Coordinator

Job Description:
The Front Office Coordinator will be responsible for ensuring the smooth operation of the office. Key responsibilities include:
- Greeting and welcoming guests, directing visitors to the appropriate person or office
- Answering, screening and forwarding incoming phone calls in a professional manner
- Maintaining a tidy and organized reception area, including stocking necessary stationery and supplies
- Providing accurate information to guests and callers in-person and via email
- Receiving, sorting and distributing daily mail and deliveries
- Maintaining office security by following safety procedures and controlling access via the reception desk
- Ordering front office supplies and tracking inventory
- Updating calendars and scheduling meetings with minimal disruption to staff
- Coordinating travel arrangements and preparing vouchers as needed
- Recording and managing office expenses and costs efficiently
- Performing other clerical duties such as filing, photocopying, transcribing and faxing
Requirements:
- Prompt and courteous communication skills
- Ability to multitask and prioritize tasks effectively
- Organizational skills with attention to detail
- Proficiency in basic computer software and equipment
- Familiarity with office administration procedures
